RULES
‘#CedefopPhotoAward’ is a competition organised by Cedefop, the European Centre
for the Development of Vocational Training (www.cedefop.europa.eu), located in
Thessaloniki, Greece. The competition theme is ‘Youth in education and training’.
The competition starts on 16 February 2016 and ends on 16 March 2016 at 23:59 CET
(deadline to submit photos). The winning photos are to be exhibited at the European
Youth Event (EYE) at the European Parliament seat in Strasbourg on 20 and 21 May
2016.
The competition is open to all EU residents, aged 18 to 30 (at the time they submit the
photo), regardless of profession, on condition that they conform to the rules, in
particular that they possess the copyright for their photos and that they grant Cedefop
the right to use them for non-commercial purposes on the Cedefop, European
Commission and EYE websites, social media platforms, promotional materials and
print publications.
By sending the application form, the participant agrees to be bound by the following
rules, including any subsequent modifications that may be deemed necessary, for
example, in the case of ‘force majeure’.
1. ELIGIBILITY
The participant must be an EU resident, aged 18 to 30 (at the time the photo is
submitted).
1.1. Copyright
The submitted photo must be an original work authored by the participant.
The participant declares and warrants that:
o the material is their own;
o no one else apart from the participant has copyright or any intellectual
property right on the submitted photo;
o the submitted work does not infringe the copyright or intellectual
property rights of someone else.
The participant hereby grants Cedefop a non-exclusive right to use the
submitted photo free of any charge for non-commercial purposes for Cedefop
web pages, social media platforms, promotional materials and print
publications.
The participant remains the owner of the copyright of the submitted work(s).

The photo will be credited appropriately each time it is reproduced or
communicated to the public by Cedefop. The participant may decide how (s)he
wants to be credited.
The participant declares and warrants that (s)he has received permission from
all persons appearing in the photo that the photo can be published.
If the winning photo contains recognisable images of children, the photographer
will be asked to send a model release form, signed by the parents or the legal
guardian of the minor, giving authorisation for the use of the photo.
2. COMPETITION TIMELINE

3. HOW TO ENTER
In the first phase, all contributions must be published and tagged
#CedefopPhotoAward on Instagram, and participants must be contactable via
direct message.
Each participant may enter a maximum of three photos. Then photos will be judged
and pre-selected by the Cedefop selection committee.
In the second phase, all pre-selected contributors will have to register for the final
competition by completing the official application form and submitting it by email only.
Documents sent by post or by other means will not be taken into account in the
selection procedure.
In the second phase, pre-selected participants are requested to send the master file of
their photos together with the completed application form to the email address:
CedefopPhotoAward@cedefop.europa.eu with the subject: ‘CedefopPhotoAward’ in
order to be shortlisted. The entries must also include the full name of the applicant,
age, country of residence, and a valid email address where the applicant can be
contacted. The maximum size of the photo file is 5 MB (maximum email size is 10 MB).
The participant should keep copies of all materials submitted as entries will not be
returned.
4. PHOTO REQUIREMENTS
Photos must relate to the theme ‘Youth in education and training’.
Photos must be submitted digitally for pre-selection via Instagram, made public
and tagged #CedefopPhotoAward (photos in private mode will not be preselected).

Use a mobile camera with at least 5 MP (8 MP recommended).
Pre-selected/shortlisted photos have to be at least 72 dpi resolution, but 300 dpi
is recommended.
Pre-selected/shortlisted photos must have a minimum dimension of 2048 pixels
on the longer side (horizontal or vertical) in jpg format (maximum file size is 5
MB, maximum email size is 10 MB).
Pre-selected/shortlisted contributions must have a title with the NAME and
SURNAME of the participant (e.g.: name_surname_CedefopPhotoAward.jpg)
as well as a short explanation of a maximum 100 words.
The photo may be edited and manipulated by the participant. This means that
the presentation of the motif may be manipulated in colour or composition
(montage, collage, retouching, etc.) to differ from the original motif.
Resharpening and correction of the tonal value is also permitted.
5. DATA PROTECTION
Any personal data communicated to Cedefop by the applicant during the selection
process shall be processed pursuant to Regulation (EC) No 45/2001 of the European
Parliament and of the Council of 18 December 2000 on the protection of individuals
with regard to the processing of personal data by the Community institutions and
bodies and on the free movement of such data. They shall be processed solely for the
purposes of the present competition.
The applicant shall have the right of access to his personal data and the right to rectify
any such data that is inaccurate or incomplete. Should the applicant have any queries
concerning the processing of his/her personal data, (s)he shall address them to
Cedefop.
The applicant agrees to the use and publication on Cedefop web pages, social media
platforms, promotional materials and print publications of the data contained in the
application form, in connection with the selected work, in the case where the applicant
is selected as a winner or a runner-up.
Participants must be able to provide proof of their identity, age and place of residence
in such a way that Cedefop can check and punish any breach of the rules.
6. SELECTION COMMITTEE
The photos published and tagged #CedefopPhotoAward on Instagram will be judged
and pre-selected by the Cedefop selection committee. After that, the contributors of the
pre-selected photos will be asked by the selection committee to provide by email the
completed and signed application form and the photo master files for the final selection
of the winner and runner-ups.
7. AWARD
The winners will be notified by email and an article about the winners of the first and
second prize, as well as the winning photos, will be published on the Cedefop website
and social media platforms. The winners of the first and second prize will receive an
invitation to travel and participate in the EYE2016 in Strasbourg, where the winning
photos will be exhibited. Cedefop will cover the costs for the winners’ participation in

the event (travel expenses and accommodation, two nights). However, please note that
the winners will not be employed by any means by Cedefop, nor remunerated for their
participation.
8. LIMITATION OF LIABILITY
Cedefop declines any responsibility for the content of the submitted works. Only the
participant shall be held liable for any infringement of third parties’ rights.
Under no circumstances will Cedefop be held responsible for direct or indirect
damages that could result as a consequence of participation in this competition, nor for
any financial reward.
If the competition is delayed, cancelled, or interrupted either partly or entirely, for
reasons other than the wishes of Cedefop, the latter will not be held responsible in any
way.
9. VARIOUS
Cedefop reserves the right to reject a registration if it does not abide by the rules or if
the work submitted is obscene or affects the rights of other people.
This competition is subject to Greek law.
If there is a dispute that cannot be resolved amicably, Greek courts will be the
competent courts.
